Long-term, confidential storage of heartfelt letters for up to 30 years. A time-capsule that will actually be remembered. Our storage is climate controlled and safe from hazards such fire, insects, dust, and moisture.

Predictable Delivery

You may select a specific month for delivery, and we will make every reasonable effort to fulfill that request. For deliveries scheduled within the next five years, or while the current owner remains actively involved in the company, we are likely to meet that date. For deliveries extending up to thirty years, we guarantee annual delivery only once per year, always in May, as our heirs can commit to fulfilling that promise.

Fear that your loved one will have moved? We recommend using the address of the funeral home where you are completing your pre-planning arrangements as the return address on your envelopes. Please address the envelope to “Next of Kin of [YOUR NAME].” Funeral homes typically maintain current contact information for next of kin who can help facilitate proper delivery. Your next of kin will likely know where to bring the letter’s intended recipient.

How EverLetter Works

This guide explains the full process, from enrollment to final delivery, using the official Everletter forms and procedures.

1 – Enroll in the service by emailing us. You can choose to either pay an initial enrollment fee or pay entirely after-you-pass-away via your final arrangements.

2 – Prepare your letters or your video correspondence.

3 – Complete the Letter Submission Form (even if you are making a video – we will convert it to DVD).

4 – Mail Your Correspondence to Everletter (if physical). If you are merely sending us a digital file, we will.

5 – Attach the correspondence Release Instructions to your final arrangements Pre-Plan packet at your local funeral home. You may need to explain what your are doing to the funeral director, but they are working in the hospitality industry and will be happy to oblige.

The next steps are out of your hands and will happen after you pass:

6 – Upon passing the Funeral Director who opens your arrangements file will see the release instructions and will notify Everletter of your passing.

7 – Everletter will send your correspondence at the next available opportunity.


Step 1 — Enroll in Everletter

Begin by enrolling in Everletter and paying the initial enrollment fee.

After enrollment, you will receive a Pre-Plan Enrollment Confirmation Packet, which includes three important items:

  1. Enrollment Confirmation (Receipt)
    This serves as your proof of enrollment and includes your Everletter Reference ID / order number. You will need this number if you ever wish to update, replace, or add correspondence in the future.
  2. Letter Submission & Registration Form
    This is the form you complete and submit together with your sealed letters when you mail them to Everletter for storage.
  3. Pre-Plan Letter Release Instructions
    This form is intended for your funeral home. It should be stapled to your funeral pre-planning or pre-need documents. Doing so ensures Everletter will be notified at the time of your passing, which triggers the verification process and the intended delivery timeline for your letters.

Everletter:

  • Does not open, read, copy, or alter your letters
  • Is not insurance, escrow, or a legal document
  • Provides a prepaid communication service with conditional execution

The enrollment fee covers setup, verification, cataloging, and secure storage. A final execution payment is due only at the time the letters are released after death.

Keep your Enrollment Confirmation with your personal records.


Step 2 — Prepare Your Letters

Writing your letters

  • Write any personal correspondence you wish to be delivered after your death
  • Letters may be emotional, reflective, or personal, but must not include:
    • Legal documents
    • Passwords or financial instruments
    • Threats, harassment, or harmful content
    • Suicide notes or instructions intended to cause harm

Preparing envelopes

  • Place one letter per envelope.
  • Fully seal each envelope
  • Use standard #10 envelopes
  • Apply sufficient U.S. Forever postage for domestic delivery

FOR DIGITAL RECORDINGS

For people who prefer digital messages, we can also arrange to turn a digital recording you send us into a DVD for long term storage of the data and then turn that into whatever data format is popular in the year your correspondence is delivered. Email us if you would prefer this service, as it is an exception and comes at a higher labor cost for us.

Envelope labeling

  • Front: Recipient’s name
  • Back (upper right corner): Intended month/year of delivery

Step 3 — Complete the Letter Submission Form

Fill out the Everletter Letter Submission & Instructions Form and include:

  • Your full legal name and contact information
  • Your Everletter Reference ID
  • An inventory of sealed envelopes (do not list contents)

By signing, you authorize Everletter to:

  • Receive and catalog your sealed envelopes
  • Store them securely without opening them
  • Release them only after verified death confirmation and final payment

Step 4 — Mail Your Correspondence to Everletter

Place the following in one mailing:

  • Completed Letter Submission Form
  • All sealed, stamped envelopes

Return instructions

  • Write your name at the top of the packet
  • Include the address of the funeral home you intend to use for pre‑need planning
    • This funeral home will notify Everletter at the time of death

Step 5 — Attach the Release Instructions to Your Pre‑Planning Documents

The Everletter Letter Release Instructions page is critical.

  • Attach it to your funeral pre‑planning documents at your local funeral home.
  • Do NOT discard it
  • Stapling is recommended

This ensures the funeral director at the time of need knows Everletter exists and how to activate delivery.


Step 6 — At Time of Death: Funeral Director Notifies Everletter

When the time comes, the funeral director initiates the release process. You have already attached instructions for release in your Pre-Planning documents in their office for easy reference.

They contact Everletter via:

  • Online: MyEverLetter.com/notify
  • Email: care@myeverletter.com
  • Phone: (as listed on your documents)
  • Or by scanning the QR code on the document

They provide the following information:

  • Your full legal name
  • Everletter Reference ID
  • Date of death

Step 7 — Final Payment

The funeral director sends (via check, or the method listed on our site):

  • Final release payment

The final amount is:

  • The same amount on the original agreed‑upon fee, usually the same amount as was paid for initial enrollment fee.
  • Adjusted for inflation using the U.S. Consumer Price Index (CPI) from date of enrollment to final release.
  • This ensures Everletter fulfills its promise.

Payment may come from:

  • Funeral expenses
  • The estate
  • A funeral trust

Step 8 — Letter Delivery

Once verification and payment are complete, Everletter delivers each letter according to your instructions:

  • Immediately after death
  • One or more years later
  • Or a request for specific future month (we will try to accommodate but cannot promise exact timing of delivery after ten years have past, but we can ensure the year of delivery).

Each recipient receives a clearly labeled envelope explaining that their loved one entrusted Everletter with this message years earlier and that the company is honored to fulfill that wish.
